GENERAL INFORMATION FOR APPLICANTS:
The following
are the requirements for the issue of a new passport:
1. Passport Application form for New
Passport to be completed IN ALL RESPECTS. The application
form has to be signed at four different places, including
the declaration. Without this, no service can be rendered.
2.Old Passport in Original
3.4 photographs to be attached (one
of which is to be pasted on page 1 of the form, and
signed half on the photo and half on the form).
4. An affidavit is to be filled in,
in case date of expiry of old passport was over one
month ago, explaining the reasons for delay.
5. If the date of expiry of the old
passport is over three months ago we also require the
applicant's Original Residence Permit along with the
photocopy of the same (Originals will be returned with
the new passport).
6. Passport Fee

7. In the case of Passports which were
issued at Offices other than Embassy of India, Madrid,
clearance is required to be obtained from the original
Passport Issuing Authority.
8. In case the passport was issued
in Madrid, no clearance is required. However, should
the applicant want passport to be issued immediately,
a special handling charge of 43 € urgent fee will
be levied in addition to the passport fees.
Money is to be paid only by Giro
Postal if it is not paid in cash over the counter. Cheques
will not be entertained, and cash in the post will not
be accepted. A copy of the Giro Postal receipt should
be enclosed or faxed, along with a self addressed envelope.
The self-addressed envelope should have sufficient stamps
affixed on it to enable us return the Passport through
Correo Certificado. (Stamps must be affixed on the self-addressed
envelope. We DO NOT accept cash for buying and putting
stamps on the self-addressed envelope). Usually, 2.50€
is required to send 1-2 Passports. For returning more
Passports, we suggest that the applicant affixes the
required stamps in consultation with the Post Office.
Those who want their passport to
be returned by Postal Express, should attach a special
Postal Express envelope with the fully filled-in corresponding
Ticket stuck on that envelope. The special Postal Express
envelope can be bought by the Applicant ONLY in the
Post Office.
9.If the applicant wants that the Passports
and other necessary documents should be returned by
Post, then he should affix sufficient postage stamps
to enable us return not only the documents submitted
by the applicant, but also those made by us.
IRRESPECTIVE OF ANYTHING GIVEN ABOVE,
THE ISSUE OF URGENT SERVICES DEPENDS ON TECHNICAL AND
ADMINISTRATIVE FACTORS AND WILL NOT BE GIVEN AUTOMATICALLY.
THE EMBASSY RESERVES THE RIGHT TO REFUSE THE ISSUE OF
PASSPORTS ON AN URGENT BASIS.
ISSUE OF EMERGENCY CERTIFICATES
Emergency Certificates are short validity documents
valid only for a single journey to a destination in
India. They can however be made out with one transit
halt for any International Airport. Only one halt is
permitted and the purpose is for the applicant to connect
to a flight that takes him to India, where he can apply
for a fresh passport.
The following are the requirements
for the issue of an Emergency Certificate in lieu of
a passport that has been lost or stolen.
1. Application for a new passport,
duly completed IN ALL RESPECTS. The form has to be signed
in four different places including the declaration.
Without this, no service can be rendered.
2.Proof of Indian nationality, preferably
a photocopy of the lost passport if available. If not,
we require at least the old passport Number and place
& date of issue. A Consular Officer is required
by law to satisfy himself that the E.C. is indeed being
issued to an Indian citizen, and not, say, to a person
of Indian origin who has obtained another nationality.
3. FIR or Police Report recording the
loss of passport.
4. Affidavit stating that applicant
is an Indian citizen.
5.Form for additional details to be
completed along with the application
6. (8) photographs, of which one is
to be pasted on page 1 of the form, and signed half
on the form and half on the photograph.
7. Ticket/ iterinary for travel to
India.
8. In case the passport was issued
in Madrid, no clearance is required. However, should
the applicant want passport to be issued immediately,
a special handling charge of 43 € urgent fee will
be levied in addition to the passport fees.
Money is to be paid only by Giro
Postal if it is not paid in cash over the counter. Cheques
will not be entertained, and cash in the post will not
be accepted. A copy of the Giro Postal receipt should
be enclosed or faxed, along with a self addressed envelope.
The self-addressed envelope should have sufficient stamps
affixed on it to enable us return the Passport through
Correo Certificado. (Stamps must be affixed on the self-addressed
envelope. We DO NOT accept cash for buying and putting
stamps on the self-addressed envelope). Usually, 2.50€
is required to send 1-2 Passports. For returning more
Passports, we suggest that the applicant affixes the
required stamps in consultation with the Post Office.
Those who want their passport to
be returned by Postal Express, should attach a special
Postal Express envelope with the fully filled-in corresponding

envelope can be bought by the Applicant ONLY in the
Post Office.
9.Fee for Emergency Certificate: 6
€. Emergency certificates will not be sent by post.
They will only be issued directly and in person to the
applicant. Should the applicant want the document to
be issued immediately, a special handling charge of
43 € urgent fee will be levied in addition to the
passport fees.

REPLACEMENT OF A DAMAGED PASSPORT
When a passport is damaged and a new one is required,
the application will be treated as an application for
a duplicate passport. The following documents will be
required:
1.Application form for a new passport.
The application form has to be signed at four places,
including the declaration. Without these, no service
can be rendered.
2. Damaged passport in original
3. Nine (9) photographs, one of which
is to be pasted on page 1 of the form and signed half
on the form and half on the photograph.
4. Affidavit to state that the damage
was not due to negligence and was not wilful.
5. Additional details form to be completed
and furnished along with the application for duplicate
passport.
6. Fees : 150 €
7.In the case of Passports which were
issued at Offices other than Embassy of India, Madrid,
clearance is required to be obtained from the original
Passport Issuing Authority.
8. An urgent service fee of 43 €
will also be charged if the passport is to be issued
on the same day/next day/holidays.

A duplicate passport in lieu of damaged passport will
be issued with the same validity as the damaged passport.
The original (damaged) passport will be cancelled and
retained in this Mission.

CHILDREN'S PASSPORTS
It is now mandatory with effect from 29-10-98 for each
child to have his / her own Passport even it were included
in the mother´s Passport. The validity of the
passport is for 5 years or until the child reaches the
age of 15, whichever is earlier. Parents/Guardians must
apply for the child's passport within seven years of
its birth.
For this, the following documentation is required:
1. Application for a new passport,
duly completed IN ALL RESPECTS. The form has to be signed
in four different places including the declaration.
Of these, the child's signature or thumb impression
must be given in the space provided for specimen signatures
and across the photograph pasted on page 1 of the form,
while the parent or guardian must sign the declaration
on page 4. Without these, no service can be rendered.
2. Passports of both parents in original.
These will be returned.
3.Original Birth Certificate of the
child along with photocopy (the Original will be returned)
4. Consent in the form of a sworn affidavit
on judicial paper signed by both parents for the issue
of separate passport for the child. This is not required
if the child's name already figures in the mother's
passport, or if both parents sign the declaration at
Col 26 on page 4 of the application.
5. 3 photographs, one of which is to
be pasted on page 1 of the form and signed half on the
photograph and half on the form.
6. Fees: 30 €. Money should be
sent only by Giro postal and receipt or copy of Receipt
should be sent either together with the form or faxed
separately. Cash will only be accepted across the counter.
43 €- extra will be charged if the passport is
required urgently.
7.In case the passport was issued in
Madrid, no clearance is required. However, should the
applicant want passport to be issued immediately, a
special handling charge of 43 € urgent fee will
be levied in addition to the passport fees.

ISSUE OF DUPLICATE PASSPORT

a Duplicate Passport in lieu of a passport that has
been lost or stolen:
1.Application for a new passport, duly
completed IN ALL RESPECTS. The form has to be signed
in four different places including the declaration.
Without this, no service can be rendered.
2. Proof of Indian nationality, preferably
a photocopy of the lost passport if available. If not,
we require at least the old passport Number and place

being issued to an Indian citizen, and not to a person
of Indian origin.

If none of the two of 2 above available,
then applicant must produce some other document of Identity
such as:
Driving Licence
Letter from Employer certifying Identity of the applicant.
Social Security Card or Original Residence Permit (Originals
will be returned along with the new passport).
Sworn Affidavits from two Indian Nationals resident
in Spain in respect of the Identity and citizenship
of the applicant may also be obtained.
** FOR INDIANS WHO HAVE LOST THEIR
PASSPORTS WHILE ON A SHORT VISIT
Proof of Identity to be supplemented
with Airlines Tickets and Itinerary.
Duplicate passports in case of transiting or short visit
applicants will only be issued on proof that the applicant
is travelling to another country. In case the applicant
is going back to India, only Emergency Certificates
will be issued for one way to India, from where a duplicate
passport has to be applied for.
** FOR INDIANS WHO HAVE SPENT LESS
THAN TWO YEARS IN SPAIN
Present visa status of the
applicant
In case he is unable provide a legal document authorising
his stay in this country, he should be able to furnish
a detailed explanation by way of sworn affidavits from
the applicant on how he travelled abroad.
Details of Travel Document in lieu of which applicant
has requested for duplicate passport.
7) Fees: 150 € . In respect of
applicants who have come on short visits it is easier
for them to collect the passport directly at the Embassy.
In the case of residents, however, who prefer to send
a postal application, the money will have to be sent
only by Giro postal or Giro Telegráfico, and
copy of the receipt for the Giro should be faxed or
sent along with the application.

Other Services
BIRTH CERTIFICATE
A Birth Certificate will be issued only on the basis
of the applicant's passport. This service can be given
only to Indian passport holders.
Documents Required :
1. Miscellaneous Application Form which
has to be duly completed IN ALL RESPECTS and signed
in two places.
2.Passport in Original.
3.1 photograph, which has to be pasted
on page 1 of the form and signed half on the form and
half on the photograph.
4. Fees 25 €.

REGISTRATION CERTIFICATE
(except Registration of Marriages)
A Registration Certificate is issued after a person
has registered his name in the Embassy. There is only
one fee for both services.
Documents required for issue of Registration
Certificate :
1. Application form for Registration**,
duly filled in and signed in one place.
2. Passport in Original.
3. One photograph to be pasted on page
1 of the form, and signed half on the photograph and
half on the form (in respect of Indian nationals).
4.Fees 25 €. An urgent service
fee of 43 € will also be charged if the passport
is to be issued the same day/next day/holidays.
Money is to paid only by Giro Postal if it is not paid
in cash over the counter. Cheques will not be entertained,
and cash in the post will not be accepted. A copy of

ATTESTATION OF POWERS OF
ATTORNEY / DOCUMENTS REGARDING PURCHASE / SALE AND TRANSFER
OF PROPERTY
The following are the requisites in respect of the attestation
of Powers of Attorney and documents regarding purchase/sale
and transfer of property. in the case of all other attestations,
this information is issued separately :
1. Miscellaneous application form to
be filled in and signed in two places, including the
declaration, without which no service will be rendered.
2. Passport in original of the applicant.
3. One photograph to be pasted on page
1 of the form, and signed half on the photograph and
half on the form.
4. Document to be attested in original,
along with photocopy. In the case of power of attorney,
the deponent will have to sign the document in the presence
of the Consular Officer of the Embassy.
5.Two witnesses who will also have
to sign the document in the presence of the Consular
Officer in the Embassy.
6.Since the Consular Officer may not
always be available, the applicant is advised to telephone
in advance for an appointment in order to save himself
time.
7.Fees 25 €. An urgent service
fee of 43 € will also be charged if the passport
is to be issued the same day/next day/holidays.
Money is to paid only by Giro Postal if it is not paid
in cash over the counter. Cheques will not be entertained,
and cash in the post will not be accepted. A copy of

In the case of documents in Spanish, Catalan or any
other language of Spain or Andorra, these will have
to be translated into English by a Traductor Oficial,
attested by the Ministerio de Asuntos Exteriores in
Madrid or Andorra, depending on where the papers were
issued originally. The Embassy will then attest the
seal of the Foreign Office.
In case the document to be attested is the original
Spanish, the seal of the Foreign Office is sufficient.
No translation is required, unless the applicant needs
this to be attested as well; in which case, he may follow
the procedure given in the preceding paragraph.
*Please note that the Embassy does not undertake the
translation of documents, whether in English, Hindi
or any other Indian language into Spanish, or vice versa.
