Toronto General Passport Service Information
1.
No passport or consular services are admissible to the
claimants of refugee status.
2. Timings for submission of applications:
9.30 a.m. to 11.00 a.m. Monday through Friday, except
holidays.
3. Serviced documents can be picked
up on due date or any date thereafter between 3.00 p.m.
and 4.00 p.m. Please note that requests for pick-ups
at other times, even on subsequent days, are not entertained.
4. Fee structure is subject to change.
5. Fee is to be paid through certified
cheque/money order or cash (acceptable at the consular
hall counter only). No personal cheques please. We do
not accept credit/ debit card payments.
6. Applications for passports may also
be sent by mail/courier.
7. Mailing charges: for dispatch of
each passport by security mail $7.00; for dispatch through
priority post, $ 15 within Ontario and $ 25 outside
Ontario. No mailing charge is required in cases of New
passports and additional booklets ( we post them at
our expense ).
8. All relevant documents must be presented
with a photocopy.
The following are only the broad guidelines. Consulate
reserves the right to examine each individual case on
its merits and may require additional information/documents/personal
interview with the applicant. Telephone enquiries are
not entertained in normal course on the status of applications
under process. Please send a written query (letter/fax/e-mail)
which will be responded.
We do not accept applications
through agents.
New Passport is required when the old passport
has completed its life-span of ten years from the date
of issue or where a new booklet is necessitated on account
of change in basic particulars like name, appearance,
seeking amendment in date of birth etc. or all the pages
have been used.
Requirements:
1. Duly filled in Passport application
form – Please ensure that two specimen signatures
are affixed in the space provided.
2. Existing passport along with photocopy
of first five pages.
3. Four photographs – Black &
White or Colour – against a light background showing
full frontal view of the face.
( approximate size 1.75"X 2.0" )
4. Original landed paper or Immigration
document with a photocopy.
5. Fee $ 65/-. (for a 36-page booklet
)
Fee $ 85/-. ( if a 60-page booklet is issued )
6. Personal appearance before Consular
officer required in case of change in appearance.
7. If passport is over-expired : then
either a search letter ( request to the Canadian authorities
to search and certify that you have not obtained Canadian
citizenship ) or the PR Card in original ( with copy
of both sides ) has to be produced.
8. For Lost/damaged passports, please
see requirements listed separately.
New passports are ready in three days time. Applications
received by mail take seven days after receipt. In case
of urgency, passport can be had the same day on payment
of Tatkal Fees of C$ 124/- in addition to the passport
fees.
Passport for children
Children now require separate passports. A child's name
will no longer be included on either parent's passport.
Where a child's name is already entered in the parent's
passport, they are required to obtain separate passport
before travel.
Admissibility:
Only children with at least one parent being an Indian
citizen are entitled to Indian citizenship and Indian
passport.
Requirements:
1. Duly filled in Passport application
form, countersigned by both parents.
2. Parent's passport having child's
name along with photocopy of first five pages of both
parents' passports.
3. Four photographs - Black & White
or Colour – against a light background showing
full frontal view of the face.( approximate size 1.75"X
2.0" )
4. Original landed paper or immigration
document, with a photocopy.
5. Birth Certificate and a copy.
6. Consent from both the parents to
obtain a new passport for their child.
7. Fee $ 45/-. (for a 36-page booklet
)
Fee $ 85/-. ( if a 60-page booklet is issued )
8. Personal appearance before Consular
Officer required in case of change of passport due to
change in appearance.
Passport renewal : If
the passport had been issued for short validity (1 or
2 years) : no fee
Requirements:
1. Duly filled-in Passport application
form.
2. Present passport : and a copy of
the first five pages
3. Two photographs - Black & White
or Colour – against a light background showing
full frontal view of the face.( approximate size 1.75"X
2.0" )
4. Original landed paper or Immigration
documents, with a photocopy.
Please note : If your current passport
is expiring after its full validity of ten years, you
do not apply for a renewal, but the issue of a New Passport
( see above for details including payment of full fee
and submission of four photographs )
Time taken: Two days. Mail-in applications
after receipt– 7 days.
Duplicate Passport in lieu
of lost or damaged passports
Requirements:
1. Fees C$ 205.
2. Passport Application Form (5 copies).
3. Additional details form (5 copies).
4. Eight Photographs – Black
& White or Colour – against a light background
showing full frontal view of the face.( approximate
size 1.75"X 2.0" )
5. Authority to disclose.
6. Photocopy of lost/damaged passport
(if available).
7. Police Report.
8. If Landed Immigrant:
a) Copy of Record of Landing.
b) Original (or if lost, Certified
copy) to be shown to Consular Officer.
9. If Not a Landed Immigrant:
a) Certificate from Immigration Canada
on category/class under which application for landing
is pending.
b) Proof of withdrawal/rejection of
refugee claim (Original and photocopy).
c) Any other immigration document.
(Original & copy).
d) Signed statement on how you left
India and came to Canada.
e) Other relevant documents. - Will
be intimated by the Consular Officer depending on the
case history.
10. Local photo identity card (attach
a copy and show original).
11. All applicants are required to
apply in person.
Please note that issuance of duplicate passport depends
on various clearances from competent authorities and
there is no specific time frame for issuance of such
passports. Please mention the name, receipt number and
date whenever you write to us or inquire about your
case.
Miscellaneous passport services
(Change in address, inclusion of spouse’s name,
date/place of birth, etc).
Requirements:
1. Duly filled in Miscellaneous Services
application form.
2. Current passport with copy of the
relevant pages.
3. Original landed paper or immigration
document, with a photocopy.
4. Document in support of the change
required. (In case of change in date/place of birth,
an Order of a Civil Judge from India is required).
5. Fees – C$ 20/-.
Time taken: Two days: Mail-in applications
after receipt 7 days.
Police Clearance Certificate
Application for a police clearance certificate from
India.
Requirements:
1. Appropriate application form duly
filled in.
2. Current Indian passport with valid
immigration papers or Canadian passport.
3. Fee: C$ 20 for Indian passport holders
and C$ 32 for other nationals
Time taken: Issue of Police Clearance Certificate requires
references to authorities in India and elsewhere and
therefore a minimum processing time of 6 weeks is required
to issue this Certificate.
Certificate of Date of Birth
(Note: This is not a Birth Certificate
but a Certificate of the Date of Birth. Applicants are
advised to check the acceptability of this Certificate
with the authorities before obtaining this Certificate)
Requirements:
1. Application form duly complete
2. Current/expired Indian passport
with valid immigration papers and copies thereof
3. Fee: C$ 20.
Time taken: Three days; Mail-in cases after receipt–
7 days.
Life Certificate There is no fee charged
for this service
Requirements:
1. Duly-filled in application form
in duplicate.
2. Valid passport supported by valid
visa or any other Immigration document regularizing
stay in Canada.
3. Identity card or any other Original
Document establishing applicant's identity as an Ex-Service
man.
4. Applicant to come in person
or
a) please sign the Life Certificate
in the prescribed proforma and get it notarized from
a Notary Public &
b) The seal and signature of Notary
Public should be verified by the Management Board of
Cabinet located at 77 Grenville St. 9th Floor, Toronto,
Ont., Tel: 416-325-8416 in case of residents of Ontario.
Residents of other Provinces may get the verification
done through Provincial Management Board or the Authority
authorised to do so .
c) A photocopy each of (a) & (b)
above is also to be submitted.
Time taken: Life Certificate is issued
the same day.
Attestation
Requirements:
1. Document to be attested in original
with one photocopy.
2. Valid passport supported by valid
visa or any other immigration document with a photocopy.
3. C$ 16 (C$32 if documents relate
to property matters and C$ 80 for commercial documents):
additional fee of C$ 5 would be charged if document
contains more than one page and need to be clipped.
(The charges of C$ 16 and C$ 32 are for each signature
attested).
4. Applicant to come in person and
sign in the presence of consular officer
or
The document can be got Notarised from a Notary Public
and the signature of Notary Public verified from the
Management Board of Cabinet at 77 Grenville St. 9th
Floor, Toronto, Tel: 416-325-8416 in case of residents
of Ontario. Residents of other Provinces may get the
verification done through Provincial Management Board
of Cabinet or the authority designated to do so in that
Province. The notarised and counter-signed document
and a photocopy along with (2) & (3) above should
be sent to the Consulate for attestation.
Time taken: Documents are attested
and returned the same day.
Mail-in applications after receipt – 3 days.
Registration of deaths
Death of all Indian nationals should be registered with
the Consulate by submitting the prescribed application
together with the death certificate, passport of the
deceased and fee of C$ 32.00.
Requirements for transportation of dead body
to India:
1. Registration of Death with the Consulate
( in case of Indian nationals only).
2. Death Certificate in original and
a copy thereof
3. Burial permit.
4. Letter from Public Health Office
indicating “No Communicable disease”.
5. Embalming Certificate, Coroners
Out of Province Certificate, Name, address, telephone
number, etc of the consignee.
6. Flight details.
7. Fee for sealing of the body, etc
C$ 195.00.
Requirements for transportation of ashes to
India:
1. Registration of Death with the Consulate
(in case of Indian nationals only).
2. Death Certificate in original and
a copy thereof.
3. Cremation certificate.
4. Certificate of packing indicating
name, age, date, time and cause of death, contents of
package
5. Passport of the deceased.
6. Name, address and passport particulars
of the person taking the ashes.
7. Fees: C$ 48/- for Indian nationals;
C$ 16/- for others.
